Public demo, beta waitlist, and private beta accounts
Privacy Policy
Last updated: June 8, 2026
Overview
Dungeon Archivist currently offers a public browser-local demo, a public beta waitlist, and a limited private beta account surface. This policy explains what information is collected, how it is used, and how to contact us about it.
Private beta account workspaces may be used for real campaign material, including uploaded files. Do not put highly sensitive personal information into the public demo or private beta, and keep independent backups for campaign material that matters.
Information We Collect
- Waitlist information: email address, beta opt-in choice, form source, and timestamps.
- Demo feedback information: feedback choice, optional note if offered, form source, timestamp, browser user agent, and a hashed IP address.
- Account information: email address, authentication records, timestamps, and related account metadata handled through Supabase Auth.
- Cloud campaign information: campaign titles, systems, summaries, membership records, uploaded files, file metadata, export/import records, and other campaign material you create in the private beta account surface.
- Security and operations information: hosting logs and rate-limit records may use request metadata such as IP address, browser user agent, request time, and endpoint requested.
- Local demo information: campaign edits, notes, uploaded reference files, and demo analytics are stored in your browser's local storage unless you choose a cloud-backed account feature.
- Messages you send us: if you email support, we collect the information you include in that message.
How We Use Information
- To send Dungeon Archivist beta, launch, and product updates.
- To manage beta invitations and understand interest in the project.
- To understand whether the public demo workflow is useful enough to build further.
- To provide account sign-in, campaign creation, and cloud-backed private beta functionality.
- To keep the waitlist and feedback forms reliable, prevent spam, and troubleshoot service issues.
- To respond to questions, bug reports, or support requests.
How Information Is Shared
We do not sell waitlist information. We may share information with service providers that help operate the site, email, hosting, authentication, database, security, or support. Supabase provides authentication and account-backed campaign storage for the private beta surface. We may also disclose information if required by law or to protect the project, users, or the public.
Your Choices
- You can request removal from the waitlist by emailing support@dungeonarchivist.com.
- You can export a cloud campaign from the account app. Exports include campaign records and uploaded file payloads in a downloadable JSON package.
- You can request private beta account deletion from the account app, then verify the request by emailing support@dungeonarchivist.com.
- You can avoid sending optional demo feedback notes or contact support with enough detail to identify feedback you want removed.
- You can clear demo content by using the demo reset control or clearing this site's local storage in your browser.
- You can avoid uploading files or entering real campaign material into the public demo or private beta if you do not want that material handled by beta infrastructure.
Retention
Waitlist records are kept while Dungeon Archivist is preparing for public beta and launch communications, unless you ask us to remove your email sooner. Demo feedback may be kept while evaluating and improving the product. Private beta account and cloud campaign records are kept while the account remains active or as needed to provide support, export, deletion, abuse prevention, and operational reliability. Security logs and rate-limit records may be kept as needed for operations, abuse prevention, and troubleshooting.
Children
Dungeon Archivist is not intended for children under 13. Do not join the waitlist or send personal information if you are under 13.
Security
We use reasonable safeguards for a small public demo, waitlist, and private beta account surface, including storing waitlist and demo feedback data outside the public web root when supported by the host, using private cloud storage for account uploads, and limiting account data access with authentication rules. No internet service can be guaranteed perfectly secure.
Changes
We may update this policy as Dungeon Archivist grows, especially when the product moves from public demo to public beta. The updated date will show when the policy last changed.
Contact
Questions or removal requests can be sent to support@dungeonarchivist.com.
This page is a practical privacy summary for the current public demo, waitlist, and early private beta account surface. It should be reviewed by qualified counsel before a broader public beta with payments, collaboration, or larger-scale cloud-stored campaign data.
